As part of our fleet management service, we provide end‑to‑end administration to ensure the smooth running of both the overall contract and each individual lease cycle. This includes, but is not limited to, the following areas:

Fleet Invoice Management

 

We operate a single-source invoicing process, meaning clients receive all leasing-related invoices — covering costs such as repairs, excess charges, and VAT — directly from us rather than from multiple suppliers. This significantly reduces the volume of invoices your accounts team must process and minimises supplier interactions. Once payment is received, we distribute funds to the relevant suppliers. We only raise invoices that have been verified through our systems, and all invoices are checked, logged within the fleet portal, and fully reportable.

End of Contract Vehicle Damage

All de-hire damage invoices are reviewed and validated by our team. Where there is disagreement regarding the application of BVRLA fair wear and tear guidelines, we will represent the driver or client and challenge the leasing company where substantive evidence supports the case.

Fines and Charges

 

All lease car suppliers are instructed to forward fines and penalties for fleet-managed vehicles directly to us. We then notify the issuing authority of the lease dates and the main driver's details, and inform the driver of the fine or penalty. All incidents are logged within the fleet portal for full visibility.

Mileage Management

 

We upload and analyse both total and business mileage data to ensure lease contracts remain aligned with actual usage. Where appropriate, we work with the leasing company to realign the contract, or recommend adjustments to driver contributions to reflect a more accurate business-to-personal mileage split. This proactive approach helps minimise excess mileage charges at the end of the lease for both driver and client.
